Information for Visiting Professors

To assist you in planning and enjoying your stay, we have collected below some information about discounts on accommodation prices and the reimbursement and insurance policy of the University of Florence, which will apply to your research visit.

 

Accomodation

To make the planning a little easier, the University of Florence has negotiated special rates for its international guests at select facilities.  More information can be found on https://www.unifi.it/vp-10832-accommodation.html

 

Reimbursement

You can ask for a refund of travel and accommodation expenses or for a lump sum refund of MAX € 4.000 inclusive of all expenses ( no original, itemized receipts needed).  Please be informed that in both cases, in order to claim your reimbursement, you need to obtain an italian tax identification number. This can be done through our Department offices:  for further information please contact Chiara Benvenuti.

 

a) In case of refund of travel and accommodation expenses, requests for reimbursements of travel and accommodation related expenses are submitted on a Reimbursement form. Reimbursement of expenses is based on documentation of reasonable and actual expenses supported by the original, itemized receipts. Reimbursements that may be paid by University of Florence are shown below:

Airfare. An original itemized airline receipt, an e-ticket receipt/statement or an Internet receipt/statement is required. The receipt must show the method of payment and indicate that payment was made. Please don’t to forget to enclose the boarding passes.

Rail transportation. An original itemized receipt, original e-ticket receipt/statement or Internet receipt/statement is required. The receipt must show the method of payment and indicate that payment was made.

Taxi. Original receipts are required.

Lodging. The final itemized hotel/ accomodation bill with proof of payment.

Meals. Original, itemized receipts are required.

 

b) In case of a  lump sum refund of MAX € 4.000 inclusive of all expenses ( no original, itemized receipts needed), a mandatory tax on regional net production value (IRAP) of 8.5 % will apply. Please be informed that the lump sum refund may be subject to an ulterior 30% retention tax on a permanent basis referred to in article 24 c. 1-ter del D.P.R. n.600/73. In order to avoid double taxation on income and capital, make sure the country your income’s from is on this list and submit an application to the tax authority of your country of fiscal residence to apply for Double taxation relief.  

 

Insurance

Please be informed that you must have adequate accident insurance cover for the duration of your stay at our University.If you are already covered by an accident insurance, you are requested to sign a declaration form. Otherwise, you can obtain group insurance coverage through our University. For further information please contact Gaia Scandurra.

 

Privileges

As visiting professor, you'll be given access to the Department’s  academic and library facilities and will be invited to join all Department academic and social activities. Subject to availability, you'll will be provided with appropriate office space during your stay.
